HVAC filtration built for federal procurement.
DOD installations, GSA contractors, federal agencies, and state buyers source from RTF because we run procurement the way procurement actually works — PO ordering, net terms, COI on file, W-9 and tax-exempt processed without friction. Over 20 years specifying HVAC filtration. No knockoffs, no overseas private-label, no surprise substitutions.

What sets us apart
Built for the way federal buyers actually work.
Procurement officers don't have time for vendors who balk at net terms, can't produce a COI on demand, or won't ship to a base. RTF runs the whole stack — documentation, payment, traceability, scheduled reorders — the way federal facilities expect.
Trusted manufacturer supply chain
RTF sources from authorized manufacturers (AAF Flanders, Koch, NaturalAire, VariCel, DriPak, PrimeShield) with traceable supply chains. Section 889 representations and TAA-relevant origin documentation available on request when contracts require them.
PO-based ordering, net terms
POs accepted at quote-confirmed pricing. Net 30 / 45 / 60 available based on agency and order history. No prepayment required for established accounts. Tax-exempt processed by procurement code.
COI & vendor registration
Current Certificate of Insurance with additional insured language for installation contracts and base access. Vendor registration packages completed for federal, state, and municipal portals.
Dedicated procurement contact
Reach our procurement team via the contact page or call 866-469-8556. M–F, 6 AM–5 PM PST. Text 425-515-2727 for 24/7 intake. One message gets you W-9, COI, and any compliance documentation you need.
Closest-warehouse fulfillment
Distribution network across 9 states. Closest location ships to minimize transit time. Standard duties direct from stock; specialty configurations and bulk by quote.
Restricted-access shipping
Ships to military bases, federal facilities, and restricted-access locations. Provide receiving POC and base-access requirements at order; we coordinate with carriers accordingly.
Why federal buyers switch
Not your typical filter distributor.
Most filter distributors weren't built for federal procurement. They balk at net terms, won't ship to restricted-access locations, source from overseas private-label whose supply chain you can't trace, and substitute products on reorder without notice.
Typical filter vendor
Built for retail, retrofit for procurement.
- Net terms “case by case” — usually no
- Section 889 rep takes weeks (if at all)
- Overseas private-label with vague supply chain
- Won't ship to military or restricted-access
- Substitutes products on reorder without notice
- No vendor registration support
RTF Federal
Built for federal procurement from day one.
- Net 30/45/60 standard for agencies
- Section 889 reps available on request
- Trusted manufacturers only — full traceability
- Ships to bases, federal, and restricted-access
- No knockoffs, no surprise substitutions
- Vendor registration completed for any portal
How it works
From first email to PO in four steps.
Federal and state agencies move on procurement-cycle timelines. Our job is to be the fast-moving piece in that workflow, not the bottleneck.
Send filter list
Send your sizes, quantities, agency name, and any compliance requirements through our contact page or quote form. For paint booth and industrial coating, include booth design and NESHAP regime.
Receive line-item quote
Quote includes pricing, lead time, manufacturer cross-references, and any compliance documentation attached. Valid 30 days. Format matches your standard purchase requisition.
Submit PO
POs accepted at quote-confirmed pricing — by email or through your agency procurement portal. No prepayment required for established accounts. Net terms applied per credit review.
Ship & track
Filters ship from closest warehouse. Tracking, COI updates, and compliance documentation sent at shipment. Established accounts get scheduled reorder reminders or managed-reorder programs.
Who we serve

Procurement FAQ
Procurement questions, answered straight.
Do you handle Section 889 / NDAA requirements?
Section 889 of the NDAA primarily covers covered telecommunications equipment and video surveillance from specific Chinese companies and is generally not directly applicable to HVAC filtration products. If your contract or procurement portal requires a Section 889 representation regardless, we can provide one stating that RTF and our manufacturers do not supply covered telecommunications or surveillance equipment. For Trade Agreements Act (TAA) origin questions on specific products, contact our procurement team and we will confirm with the manufacturer.
Can you provide a Certificate of Insurance with my agency listed as additional insured?
Yes. Send your COI requirements (general liability limits, additional insured language, any specific endorsements your agency requires) and we'll have a current COI back within one business day.
Do you accept GSA contract pricing?
RTF is not currently a GSA contract holder, but we work with prime GSA contractors who source through us. If you have a specific GSA SIN or contract reference, we can quote against it.
What payment terms are available?
Established accounts: Net 30 standard, Net 45 and Net 60 available based on order history and agency. New accounts can establish PO-based purchasing without prepayment after credit and W-9 review.
Do you handle tax-exempt purchases?
Yes. Send your tax-exempt certificate at account setup; we'll process orders tax-exempt thereafter without per-order paperwork.
Can you ship to military installations or restricted-access facilities?
Yes. We ship to military bases, federal facilities, and restricted-access locations. Provide the receiving point of contact and any base-access shipping requirements at order placement; we'll coordinate with carriers accordingly.
